SchoolOS is a school communication app used by schools, their teachers and parents. This policy explains what information SchoolOS handles, why, and the choices you have.
Who runs SchoolOS: [legal name and city]. Contact: [support email address].
1. Your school is in charge of your data
Your child's school decides to use SchoolOS and gives us the information needed to run it, such as class lists and parents' mobile numbers. The school controls this information. SchoolOS processes it on the school's behalf, only to provide the service. If you have a question about your child's information, please contact the school first.
2. What information we handle
| Who | Information |
|---|---|
| Students | Name, admission number, class, section, roll number, date of birth, gender, photo (if the school adds one), attendance, leave requests, homework, marks, report cards, timetable |
| Parents | Name, mobile number, which children they are linked to, messages they send to teachers, leave requests, the date they accepted this policy |
| Teachers and school staff | Name, mobile number, employee code, classes and subjects they teach, posts and messages they send |
| Everyone who logs in | When they last used the app, the type of phone and app version (for fixing crashes), and push notification tokens |
| Schools asking for a demo on this website | The name, school, city, board, mobile number, number of students and message entered in the form |
We do not collect location, contacts, call logs or advertising IDs. Students do not log in to SchoolOS.
3. Why we use it
- To let the school share attendance, homework, announcements, marks, report cards and timetables with parents.
- To let parents send replies and leave requests to teachers, during the hours the school allows.
- To log people in with a one-time code sent by SMS to their mobile number.
- To send notifications about new posts, absences, leave decisions and results.
- To contact schools that asked for a demo.
- To keep the service secure and fix problems.
We do not sell any information, show ads, or use children's information for marketing or profiling.
4. Who can see it
- Within the school: school admins see their school's information. Teachers see the students in classes they teach and those students' parents. Parents see only their own children's information. Nobody at another school can see your school's information.
- SchoolOS team: a small team, only to provide support when the school asks or to keep the service running, using accounts protected by a second login factor.
- Service providers we use to run SchoolOS: Supabase (database and file storage, hosted in Mumbai, India), Expo and Google Firebase (app updates and push notifications), an SMS provider (to send login codes), Cloudflare (hosting this website) and Sentry (crash reports, without student records). They may only use the information to provide their service to us.
- The law: if required by Indian law or a valid legal order.
5. Where it is stored and how it is protected
Information is stored in India (Mumbai region). It is encrypted while travelling over the internet and stored encrypted. Each school's information is kept separate by database rules that are tested automatically. Logins use one-time codes, so there are no passwords to leak.
6. How long we keep it
We keep information while the school uses SchoolOS. If a school stops using SchoolOS, we delete its information within 90 days of the school's request or the end of its agreement, except where the law requires us to keep something longer. Backups are overwritten within 30 days after that.
7. Children's information and consent
SchoolOS is used by parents and teachers, not by children. Children's information is entered by their school. When a parent first logs in, the app explains what information is used and asks the parent to agree; this consent is recorded with the date. A parent can withdraw consent by asking the school, which will stop sharing that child's information through SchoolOS.
8. Your choices and rights
You can ask your school to correct wrong information, to stop sharing your information through SchoolOS, or to delete it. You can also write to us at the contact address above. We will respond within 30 days. You can log out at any time and uninstall the app; uninstalling does not delete the school's records, so ask the school if you want them removed. You can also ask for your account to be deleted from the app (Profile > Request account deletion).
9. Changes
If we change this policy in an important way, the app will show the new version and ask you to agree again.
